Policy

Refund & cancellation policy

Last updated 30 July 2026. Applies to all lessons purchased from Japanese Flow.

1. Summary

Japanese Flow sells a scheduled service. When you buy a lesson, a specific block of Tamon's working time is reserved for you and preparation for your level begins. For that reason purchased lessons are not refundable on request, but they can be rescheduled with reasonable notice. Where Japanese Flow fails to deliver a lesson you have paid for, you are refunded in full.

2. Rescheduling

A confirmed lesson can be moved to another available time if you notify us by email at least 24 hours before the lesson start time. There is no charge for rescheduling and no limit on how many separate lessons you reschedule, though any single lesson can normally be moved once.

If notice is given less than 24 hours before the start time, or if you do not attend, the lesson counts as delivered and is used up. This applies regardless of the reason, including illness, work, travel and connection problems on your side. This rule exists because the time cannot be resold at short notice.

3. Cancellation of a purchased lesson

Purchased lessons cannot be cancelled for a refund. They remain available to you, subject to the expiry terms in section 5, and can be rescheduled under section 2.

4. Cancelling the monthly plan

The monthly plan renews automatically every 28 days. You can cancel at any time by emailing the address on our commerce disclosure page. Cancellation stops all future payments; we do not require notice periods and there is no cancellation fee.

Cancelling does not refund the cycle you have already paid for. Lessons remaining in that cycle stay available to you until the cycle ends.

5. Expiry of unused lessons

Lessons purchased under the monthly plan must be used within the 28-day cycle in which they were bought. Unused lessons expire at the end of that cycle. They are not carried into the next cycle and are not refunded.

The cycle start date and the number of lessons remaining are stated in the confirmation email you receive each cycle. If you are close to expiry and no suitable slot is available in Tamon's schedule, contact us before the cycle ends and the lesson will be honoured after expiry — expiry is not applied where the lack of an available slot was on our side.

6. When Japanese Flow does refund you

You receive a full refund of the affected lesson or lessons in each of the following situations. You do not need to argue for it; email us and it is processed.

  • We cancel and cannot re-book. If Tamon cancels a confirmed lesson and no replacement time acceptable to you can be arranged, that lesson is refunded in full.
  • The lesson could not go ahead because of a failure on our side. This includes Tamon not attending, and technical failure of our equipment or connection that prevents the lesson from being taught.
  • The service delivered was not the service described. If a lesson materially fails to match what is described on this website, tell us within 7 days and we will re-teach it at no charge or refund it, at your choice.
  • Duplicate or incorrect charge. Any amount charged in error, including a double charge or a charge after you cancelled, is refunded in full.
  • Unauthorised charge. If a payment was made without the cardholder's authorisation, it is refunded in full once confirmed.
  • Monthly plan billed after cancellation. If a renewal is taken after you asked us to cancel, that renewal is refunded in full.

7. How to request a refund

Write to us using the address on our commerce disclosure page with the date of the lesson or charge and a short description of what happened. We respond within one business day.

Approved refunds are returned to the card originally used for payment. Japanese Flow processes the refund within 3 business days of approving it; your bank or card issuer typically takes a further 5 to 10 business days to show the money in your account. Refunds are issued in US dollars for the amount charged. If your card is in another currency, the amount you receive back may differ slightly from the amount debited because of exchange rate movement between the two dates — that difference is set by your card issuer and is not retained by Japanese Flow.

8. Disputes

If you believe a charge is wrong, please contact us before raising a dispute with your bank. Almost all billing problems are resolved by email within a day, and a direct refund reaches you faster than a card dispute does.

If you are not satisfied with our response, you retain your right to dispute the charge with your card issuer, and we will supply the booking and delivery records for that process.
