Privacy policy

1. Who is responsible
Japanese Flow, a sole proprietorship operated by Tamon Shikai and registered in Japan, is responsible for the personal information described here. Contact: the address on our commerce disclosure page.
2. What we collect
- Contact and booking details — your name, email address, time zone, and the lesson times you agree with us.
- Learning information — your current level, study goals, and notes Tamon keeps to prepare and continue your lessons.
- Payment records — the date, amount and status of your payments, and the last four digits and brand of the card used.
We do not collect your full card number, expiry date or security code. Those are entered directly into Stripe's payment form and never reach us.
3. Why we use it
To schedule and teach your lessons, to prepare material at your level, to take payment and issue receipts, to answer your questions, to handle refunds and billing disputes, and to keep the accounting and tax records that Japanese law requires us to keep.
We do not sell your personal information, and we do not use it for advertising or send marketing email to students who have not asked for it.
4. Who else processes it
- Stripe, Inc. — payment processing, refunds and payout records. Stripe acts as an independent payment processor and handles card data under its own privacy policy.
- Google (Google Workspace) — email and calendar. Your messages and confirmed lesson times are stored there.
- The video call provider used for your lesson — to host the call itself. The provider is named in your booking confirmation.
These providers process information on servers that may be located outside your country, including in the United States. We do not disclose your information to anyone else except where we are legally obliged to.
5. How long we keep it
Payment and transaction records are kept for seven years, as required for Japanese tax and accounting purposes. Contact details and lesson notes are kept while you are studying with us and for two years afterwards, in case you return, and are then deleted.
6. Cookies and analytics
This website sets no cookies of its own and runs no advertising or analytics trackers. Fonts are loaded from Google Fonts, which means Google receives your IP address when a page loads, as it would for any request to a third-party server.
7. Your choices
You can ask us to show you the information we hold about you, correct it, or delete it. Write to us using the address on our commerce disclosure page and we will respond within 14 days. We may need to keep payment records even after a deletion request, where tax law requires it; if so, we will tell you exactly what is being retained and why.
8. Changes
If we change this policy, the updated version appears on this page with a new date. Changes that affect how we use information about current students will also be sent to them by email.
